How Payments Work
The Booking Process
You can join any of our trips through our website by clicking the 'Book Now' button. You will be led through our online booking process. All information given to us is protected and classed private and confidential. We do not hand over any of your details to third parties. To book a place on one of our trips is quite straight-forward with the initial details required being minimal. You will be given private access to your own booking pages know as 'Manage my Trip', which is accessed via the 'Login' button on our home page. Before your trip departure you must fill out all the pages of your 'Manage my Trip' section with flight, dietary and medical details.
We require a deposit of £250 on booking. This can be paid whilst booking online through our secure payment pages by debit or credit card. There are no charges for debit cards, but credit cards do incur a bank handling fee which, at the time of writing, is 2%.
You can also opt to pay by bank transfer or cheque - if this is your preferred payment option we will forward you the required details. You can also call us and make a card payment over the phone.
The balance for your adventure is due 4 weeks prior to departure. This can be paid in monthly instalments or in one final payment according to your preference.
Additional payments (beyond deposit) can be made by logging into your 'Manage my Trip', by post, by bank transfer or over the phone. All payments will be receipted and an invoice posted or emailed to you.
Please note that if paying by credit or debit card either over the phone or through our website we can only accept payments in £ GBP. Some cards do not accept £ payments such as the Irish Laser card.
We have both a £ GBP and a € Euro account and can accept payments in either currency. If you would like to pay in € please contact the office for a quote as obviously the exchange rates do fluctuate. Having paid the deposit, if there is a significant rise or fall in the £ to € exchange rate we do reserve the right to alter our rate for your remaining payments. If you are paying in another currency such as American dollars then any amount sent to us by transfer or card payments will be exchanged into £ GBP. You will be invoiced and receipted in £. Any international banking or transfer fees should be covered by you.
For your financial protection we are bonded with AITO - the Association of Independent Tour Operators. The Company has never had any liens, debts or an overdraft, and in accordance with financial regulations regarding travel companies operates a trust account where all client monies are held prior to and during the trips. Operational and administrative expenses are covered through a separate working account. Company accounts can be viewed at Companies House, and Adventure Alternative has maintained a healthy and growing balance sheet every year. Gavin Bate has managed a slow and organic growth over many years resulting in a financially robust company which has never operated beyond its means.
When it comes to making a group booking for a school, private team, charity, company etc then you can set up a group section in our online booking system. This will allow you to organise payments from one central source (e.g. a nominated treasurer or trip organiser) or individually by the team members.
